Fleet management software in Ghana tracks vehicles, assigns jobs to drivers, records fuel and maintenance, and proves delivery. For logistics firms in Accra, Tema and Kumasi, the useful systems combine GPS tracking with a dispatch desk, an Android driver app that works on weak signal, and mobile money collection. The aim is fewer lost hours and fewer disputes.
Most fleet operators in Ghana start with phone calls, WhatsApp groups and a spreadsheet. That works for five vehicles. At twenty, nobody knows where the trucks are, which jobs are late, or why fuel costs went up. This guide covers what fleet and logistics tracking software should do, when to buy a packaged tool, when to build, and how PED Solution Studios approaches it.
What fleet management software does
Live tracking. Where each vehicle is, from a GPS tracker or the driver’s phone, on a map your dispatch desk can read.
Dispatch and job assignment. Create jobs, assign them to drivers and vehicles, set pickup and drop-off, and see status: assigned, picked up, on the way, delivered, failed.
Driver app. Drivers see their jobs, navigate, update status, capture photos and signatures, and record cash or MoMo collected.
Proof of delivery. Photo, signature, time and location for every drop, so disputes are settled with evidence.
Fuel and maintenance. Fuel logs per vehicle, service schedules, tyres, insurance and roadworthy renewals, with reminders before they lapse.
Driver records. Licences, assignments, hours and incidents.
Reports. Jobs per day, on-time rate, cost per trip, idle time, fuel per kilometre, and outstanding cash.
Fleet and logistics problems specific to Ghana
- Patchy signal. The driver app must save updates offline and sync later, or drivers stop using it on the road between Accra and Kumasi.
- Cash and mobile money on delivery. Many deliveries are paid on arrival. The system must record what each driver collected by cash, MTN MoMo or Telecel Cash, and reconcile it daily.
- Addresses. Landmarks and phone calls still do much of the work. Capture a pin location and the customer’s phone on every job, and use GhanaPostGPS digital addresses where customers have them.
- Port and freight work. Haulage from Tema involves container numbers, customs status and free-day deadlines. Missing a deadline costs money, so track it as a field with alerts.
- Mixed fleets. Owned vehicles, contracted trucks and motorbike riders often run side by side, each with different rules.
Buy a packaged tool or build your own?
Buy when your needs are standard: tracking, basic dispatch and maintenance reminders. Several packaged fleet and delivery tools are sold in Ghana, as well as international GPS tracking platforms. Many come with hardware. Ask for a trial with your own vehicles.
Build when the fleet is part of a bigger operation the packages do not fit:
- deliveries tied to your own orders, stock or warehouse;
- several user types, such as customers, merchants, riders, dispatch and finance;
- cash and MoMo reconciliation per rider;
- freight workflows with container, customs and demurrage tracking;
- integrations with your accounting, e-commerce or ERP.
Combine when it makes sense: keep a packaged GPS tracker and build the dispatch and finance layer around its data. We explain the general trade-off in custom software vs ready-made tools.
What PED Solution Studios has built for logistics
PED has built BYOB, a commerce and logistics platform that includes a dispatch portal and an Android delivery app published on Google Play, alongside the commerce side of the business. Riders and dispatch work from the same records, so the desk sees what the road is doing.
PED has also integrated GPS tracking hardware into fleet software, bringing tracker locations onto the same dispatch map as jobs and drivers. Which trackers to use depends on your fleet and your supplier, and we agree that in the scope.
Logistics and freight systems are part of PED’s operations software work, including freight workflows for Tema, customs status and demurrage deadlines. Systems are scoped per project after a call.
Questions to ask a fleet software vendor in Ghana
Whether you buy or build, ask:
- Does the driver app work offline, and how does it handle a job updated twice?
- Which GPS trackers does it support, and who supplies and installs them in Accra, Tema or Kumasi?
- How are cash and MoMo collections recorded and reconciled per driver?
- Can customers get a tracking link or SMS updates without installing an app?
- What reports come built in, and can you export the raw data?
- How is pricing set: per vehicle, per driver or per user, plus hardware and SIM data?
- Who owns the data, and can you take it with you if you leave?
- What support is available when a dispatcher is stuck at 6am?
Ask for a trial on a handful of your own vehicles for a few weeks. A demo with sample data hides the problems that matter, such as weak signal, wrong addresses and drivers who forget to tap “delivered”.
A sensible first version
Do not start with every feature. A first version that proves value for a fleet in Accra or Tema usually includes:
- Jobs with pickup, drop-off, customer phone and pin location.
- Assignment to a driver and vehicle.
- An Android driver app with status updates, photos and offline saving.
- Cash and MoMo collected per job, with a daily reconciliation screen.
- A dispatch board showing every job’s status.
GPS hardware integration, fuel analytics, maintenance and customer tracking links follow once drivers are using the app every day.
Getting drivers to use it
The best fleet software fails if drivers ignore it. It helps to:
- keep the driver app to a few large buttons;
- make it work on the phones drivers already own;
- save everything offline;
- pay or reward on completed jobs recorded in the app;
- train in person, at the yard, in the language drivers use.
Data and privacy
Vehicle locations, driver records and customer phone numbers are personal data under Ghana’s Data Protection Act, 2012 (Act 843). The company running the system registers with the Data Protection Commission. PED has helped companies become compliant with Act 843, with role-based access, audit logs and clear rules on who sees driver locations and when.
Frequently asked questions
What is fleet management software?
It is software that tracks vehicles, assigns jobs to drivers, records fuel and maintenance, and reports on cost and performance. Logistics versions add dispatch, proof of delivery and cash collection.
Do I need GPS trackers, or can drivers’ phones do it?
Phones work for job status and proof of delivery while the app is running. Hardware trackers are more reliable for continuous location and for vehicles without an assigned phone. Many fleets use both.
Can the system record MoMo payments collected by riders?
Yes. A driver app can record cash and MTN MoMo or Telecel Cash collections per job. Payments can also be taken by prompt through gateways such as Hubtel or PaySwitch, and reconciled daily.
Does fleet software work without internet?
A well-built driver app saves updates on the phone and syncs when signal returns. Live tracking still needs a connection to update the map.
Does PED build logistics and fleet software?
Yes. PED built the dispatch portal and Android delivery app for BYOB, a commerce and logistics platform, and has integrated GPS tracking hardware into fleet software. Fleet and freight systems are scoped per project.
