Hospital management software in Ghana has to handle registration, consultation, pharmacy, lab, billing and NHIS claims on one patient record, keep working when the internet drops, and protect patient data under the Data Protection Act, 2012 (Act 843). Most private hospitals and clinics should start with a proven packaged system and build custom software only around the gaps.
This guide is for medical directors, hospital administrators and finance leads in Accra, Kumasi and other regions who are choosing a system or replacing one. It explains what the software must do in Ghana, what already exists, and when a custom build makes sense. PED Solution Studios builds operations software and takes healthcare work, including NHIS claims workflows. We have no published hospital project yet, so this guide makes no claims of hospital results.
What hospital software has to do in Ghana
The core modules look the same everywhere:
- Patient registration with a unique patient number, demographics, insurance status and visit history.
- OPD and triage: queues, vital signs, consultation notes, diagnoses and prescriptions.
- Pharmacy dispensing tied to prescriptions, with batch and expiry tracking.
- Laboratory and radiology: orders, sample tracking, results that reach the doctor’s screen.
- Wards and admissions: beds, transfers, nursing notes, discharge summaries.
- Billing and revenue: cash, mobile money, card, corporate and insurance accounts, kept apart.
- Reporting for management and for the health authorities.
What makes Ghana different is the parts around those modules: NHIS claims, national e-health systems, mobile money and data protection.
NHIS claims and CLAIM-it
The National Health Insurance Authority (NHIA) runs CLAIM-it, its electronic claims software for credentialed providers. According to NHIA’s CLAIM-it site (claimit.nhia.gov.gh), it can run standalone, on a network, or integrated with an existing hospital management system, and claims can be submitted online or exported for submission at an NHIA office. NHIA has also published a standardised e-claims XML interface specification for system vendors.
For buyers this means one practical question: does the system you are considering generate claims that CLAIM-it accepts, or will your claims staff re-key them? Re-keying is where rejected claims and delays come from. Ask every vendor to show a claim going from consultation to submission, live.
LHIMS and public health reporting in Ghana
Under the Ministry of Health’s National E-Health Project, public facilities use LHIMS (the Lightwave Health Information Management System). Ghana Health Service collects routine reports from facilities through its national district health information system. A private facility in Accra or Tema does not usually run LHIMS, but its software may still need to produce the reports the health authorities ask for, and to send referrals to public hospitals cleanly. Check with your regulator and your district health directorate which reports you owe and in what format.
Patient data and the Data Protection Act (Act 843)
Under Ghana’s Data Protection Act, 2012 (Act 843), health information is special personal data. It can only be processed on the grounds the Act allows, and it must not be disclosed except where the law permits. Organisations that process personal data are data controllers and must register with the Data Protection Commission (dataprotection.org.gh). For a hospital system, that is the hospital or clinic that owns the data, not the software vendor.
In software terms, that means:
- Role-based access: a cashier should not open clinical notes.
- An audit trail that records who viewed or changed a record, and when.
- Backups you have tested, and a written plan for a lost laptop or a ransomware attack.
- Clear rules on exports: who can download patient lists, and why.
PED has helped companies become compliant with Act 843. On a clinical system, the audit trail is part of the scope, not an extra.
Billing with MTN MoMo, Telecel Cash and cash
Patients in Ghana pay with cash, MTN MoMo, Telecel Cash and cards, often at the same counter on the same day. The billing module must:
- Keep NHIS, private insurance, corporate and out-of-pocket payments separate.
- Record mobile money payments against the right invoice, with a reference the cashier can find.
- Close the day with a report that matches the bank and the MoMo statement.
Where a custom system takes payments, PED has integrated Hubtel and PaySwitch for mobile money (MTN MoMo, Telecel Cash and AT Money), PayPal for card and international payments, and Stripe for foreign companies taking foreign payments.
Packaged systems already built for Ghana
Several Ghana-built hospital management systems advertise NHIS claims, offline operation and local support. Their own websites list products such as EliCare HMS, Yezura, Digitrust HMS and Aetheris HMS, and Spagad lists HealthPro. Some publish monthly prices by facility size. We have not tested these products, so this is not a recommendation. Ask each one for a demo with your own claim types and your own reports.
For a typical clinic or private hospital, a proven packaged system is the safer starting point. It has been through other facilities’ audits and claims cycles. Building a full electronic medical record from scratch is rarely the responsible choice.
When a custom layer makes sense
Custom software earns its cost in healthcare when the gap sits around the clinical record rather than inside it:
- Multi-site groups that need one view of attendance, revenue and stock across branches in Accra and Kumasi.
- Referral, diagnostic or home-care networks whose workflow no packaged HMS covers.
- Integration: connecting the HMS to accounting, a patient app, SMS reminders or a lab instrument.
- Specialist services (dialysis, fertility, occupational health) with their own scheduling and billing rules.
In these cases, PED’s operations software approach applies: map how the work moves today, name the loss (rejected claims, unbilled services, admin lag), and build the first desk that stops it. The same principle runs through our note on custom software vs ready-made tools: “Sometimes a narrow custom layer on top of a boring system is safer than a from-scratch EMR fantasy.”
Questions to ask any hospital software vendor in Ghana
- Show me an NHIS claim going from consultation to CLAIM-it-ready output.
- What happens at the front desk when the internet goes down for two hours?
- Who can see clinical notes, and can you show me the audit log?
- Where is the data hosted, and how do we get a full export if we leave?
- How are mobile money payments matched to invoices at close of day?
- Who answers support calls, during which hours, and in which city?
Frequently asked questions
What is the best hospital management software in Ghana?
There is no independent ranking. Choose on NHIS claims handling, offline operation, audit trails, data export and local support. Ask for a live demo using your own claims and reports.
Does hospital software in Ghana need to work with NHIS?
If your facility is credentialed with NHIA, yes in practice. NHIA’s CLAIM-it software can work with an existing hospital management system, so check that a vendor’s claims output is accepted without re-keying.
Is patient data covered by Ghana’s Data Protection Act?
Yes. Under Act 843, health information is special personal data, and the facility processing it must register with the Data Protection Commission as a data controller. Your software should enforce role-based access and keep an audit trail.
Should a private hospital build its own system?
Usually not the full clinical record. A proven packaged system is safer for that core. A custom layer makes sense for multi-site reporting, integrations or a workflow no product covers.
Does PED Solution Studios build hospital software?
Yes. PED takes healthcare work, including NHIS claims workflows and audit trails, and has helped companies become compliant with Act 843. It has no published hospital project yet, so ask us about scope rather than past results.
Talk through your system
If your claims, branches or billing no longer fit the software you have, book a call and tell us where the work gets stuck. We will say plainly whether you need a better product, a custom layer, or neither.
